Our nonprofit client served underprivileged children during the academic year. Like many nonprofits, they relied on an ad hoc mixture of free and low-cost services to manage their inter-office communication and to manage their data, including information about their clients and finances.
Unfortunately, without any unified hub to manage communication and without standardized document storage, this nonprofit lost efficiency and valuable time. Different individuals possessed various levels of access to documents and emails, which unnecessarily exposed some data while unintentionally leaving key personnel out of the loop.
The client not only wanted a more secure approach to data management and document storage, but also a more professional image and improved communication among staff.
Griffin Link suggested Office 365 as one tool in a broader solution that included a better share point system, such as email addresses tied to the nonprofit's domain. The project required our engineers to uninstall Office in every PC and Mac and to install Office 365 - remotely.
After creating a rudimentary e-document management system utilizing O365 Sharepoint and Onedrive, Griffin Link provided training for staff to be comfortable with a new way of working. Our engineers worked with the client during "Lunch 'n Learn's" so that the transition went as quickly as possible.
Yet again, Griffin Link met the client's needs on a tight deadline: the client contacted us in summer, right before the school year started, leaving fewer than thirty days to complete discovery, make assessments, finish the work on all devices and systems, and offer training.
Nonprofits carefully watch their budget allocations for resources, including technology. For the client's devices, Griffin Link performed "life cycle management": our engineers evaluated all hardware and systems to determine the benefit still left in aging technology. They suggested new machines where appropriate as well as upgrades and program replacement to maximize the efficacy of each device.
Our client enjoyed a "friends and family" rate because Griffin Link supports our nonprofit clients' efforts to serve our local communities in need. As our client said, "Working with Griffin Link and their engineers to get a proper system of document workflows and automation was surprisingly easy. We will be working with Griffin Link more in the future to better streamline our IT process further"
